PRVN Affiliate
Privacy Policy
Effective October 19, 2026
This policy covers the PRVN Affiliate apps and prvnaffiliate.com. It says what we collect, why, who handles it for us, and how to have it deleted.
The apps are the iPhone and iPad app, the Apple TV app, and the Android phone, Android TV and Fire TV apps. The site includes the gym TV screen at prvnaffiliate.com/tv and the weekly challenge scoreboard at prvnaffiliate.com/scoreboard. They're run by PRVN (“we”, “us”).
The short version
- PRVN Affiliate is for owners and coaches at gyms that subscribe to PRVN's affiliate programming. You sign in with your email and a code. There's no password.
- We collect what the service needs to work: your email address, your account ID, what your team adds (gym notes, challenge scores, TV names), and crash and diagnostic reports.
- No ads. We don't sell your data, and we don't track you across other companies' apps or websites.
- Challenge scores are public on PRVN's scoreboard. Gym notes are seen only by your gym's team and its TVs.
- Delete your account in the app at any time: Gym → Delete account. Or email [email protected].
1Who we are
PRVN Fitness publishes weekly CrossFit-style programming for affiliate gyms. Gyms pay PRVN for it outside the apps. PRVN Affiliate is how a gym's owner and coaches read that programming, plan their classes and put it on the gym's TVs. The apps and site are operated by PRVN, which is responsible for the personal information described here. You can reach us at [email protected].
2What we collect
Your account
- Email address: the one you sign in with. We use it to send your sign-in code and to check whether your gym has access. A gym owner's email comes from the gym's PRVN subscription. A coach's email is the one their owner invited. If you enter an email we don't recognise, our sign-in provider still records it, even though PRVN then won't let you in.
- Account ID: a random identifier our sign-in provider, Clerk, gives your account.
- Your gym and role: which gym you belong to, and whether you're its owner or a coach. If your profile with Clerk has a name, your team sees it in the team list.
- If you own a gym, PRVN's affiliate list also holds details from your subscription: the gym's name, the email the subscription is under, its start and end dates, and how many team seats it has. That's how the apps know to let you in.
What you and your team add
- Gym notes: notes on a day or a workout (for example “lanes 1–4 on rowers”). We keep what each note says, the day or piece it's on, whether it's shown on the gym's TVs, who wrote it (their account ID and email) and when.
- Coach invites: the email address an owner invites, and who invited it.
- TV screens: the name you give a screen, what kind of device it is, when it last checked in, what it's set to show, and the email of whoever last changed that.
- Weekly challenge scores: the athlete's name, their gym, their division (male or female), the score and when it was logged. A coach can log scores in the app. Athletes can log their own on the scoreboard page without an account. Scores are public: anyone with the scoreboard link can see the names, gyms, divisions and scores on it.
How the service is used
When someone at your gym opens the current week, we record the gym, the week, their account ID and the time. When a paired TV opens it, we record the same thing without an account. PRVN uses these records to see how recently each gym has used the programming.
Device and diagnostic information
- Crash and error reports: when an app crashes, hangs or hits an error, it sends a report to Sentry. Our servers send their errors and logs there too. A report includes the device model, operating system, app version, a random ID for that installation of the app, and the steps leading up to it: screens opened, buttons tapped and network requests made. For a small sample of requests, those steps include words you typed into the archive search. Once you're signed in, the report also includes your account ID. The apps don't send your email address, screenshots or recordings of your screen.
- Performance: timings for about one in ten app launches, screens and requests, so we can find what's slow.
- Sign-in device details: Clerk receives your device's type, model, operating system and app version when you sign in. On iPhone and iPad it also receives the identifier iOS gives our apps on that device, so it can recognise the device you're signed in on. This is not the advertising identifier.
IP address and approximate location
Your device's IP address is visible to every service the apps or site connect to: our servers, Clerk and Sentry. Clerk uses it to record the approximate location (city and country) of each signed-in session, to keep your account secure. Sentry can record the IP address and an approximate location worked out from it with a report. We never use GPS or ask for your device's location.
Kept on your device
- The phone app keeps the last week it loaded and your units setting on the device, so it opens quickly and works on patchy Wi-Fi. Signing out clears the programming.
- Your sign-in session is kept in the device's secure storage. A paired TV keeps its pairing key there too, or in the browser for the web TV screen. Unpairing removes it.
- The scoreboard page keeps a score you've just logged in your browser's storage, so you see it on the board straight away.
Cookies on prvnaffiliate.com
The site uses only the cookies Clerk needs to keep you signed in. There are no advertising or analytics cookies. The site's pages load their fonts from Google Fonts, so Google sees your IP address when your browser fetches them.
What we don't collect
No payment details (gyms pay PRVN outside the apps), no contacts or address book, no photos, no GPS location, no Health app data, and no advertising identifier. On Android, the QR scanner used to pair a TV runs in Google Play services. The app receives only the code it reads, never the camera image.
3How we use it
- To run the service: signing you in, checking that your gym's membership is active, showing your gym its programming, and making team, notes, challenge and TV features work.
- To keep it secure: keeping a record of signed-in sessions, limiting repeated attempts, and letting owners remove coaches and TVs.
- To fix problems: finding and fixing crashes, errors and slow spots.
- To understand use: seeing how recently each gym has opened the programming.
- To support you: answering when you contact us.
We don't use your information for advertising, we don't build marketing profiles, and we don't make automated decisions about you beyond whether your email has access.
4Who sees it and who processes it
People
- Your gym's team: the owner and coaches see the team list (names and emails), pending invites, the gym's notes (with the author's email) and its TV screens. A gym's TVs show only the notes marked for the TV.
- Anyone: challenge scores on PRVN's scoreboard are public.
- PRVN staff: they manage which gyms have access and help when you contact us.
Service providers
These companies process data for us to run the service. They aren't allowed to use it for their own purposes, except where a provider's own policy applies to a service you choose to use, like playing a YouTube video.
Clerk
Sign-in · clerk.com
Sends your sign-in codes and keeps your account: your email, your account ID and your gym team membership. It also keeps details of each signed-in session: device, IP address and approximate location.
Sentry
Crash and error reports · sentry.io
Receives the crash, error and performance reports described above, from the apps and from our servers, and keeps them for up to 90 days.
YouTube (Google)
Movement videos · policies.google.com
Movement videos play in YouTube's embedded player, in its privacy-enhanced mode. The player loads only when you tap a video. YouTube then receives your IP address and device information under Google's Privacy Policy.
Hosting and network
Our servers · Cloudflare · Google Fonts
The API, database and website run on servers we operate. Cloudflare carries traffic to them, and Google Fonts serves the site's fonts. Each handles your IP address and the requests it carries.
Links to other websites in the programming open in a browser inside the app. We can't see what you do there, and those sites have their own policies.
When the law requires it
We may disclose information if the law requires it, to protect people's safety, or to protect our rights. If PRVN Affiliate is ever sold or merged, your information would go with it, and this policy would still apply to it.
5How long we keep it
- Your account: kept while your gym has PRVN Affiliate access and you're on its team, and deleted when you delete it in the app or ask us to. If a gym's membership ends, we keep its records in case it rejoins, unless the owner asks us to delete them.
- Notes, scores, screens and invites: kept until someone removes them or you ask us to delete them. A removed TV or a cancelled invite stops working at once, but a record that it existed stays until we delete it on request.
- Records of opening the programming: kept while your account exists, and deleted with it.
- Crash and diagnostic reports: Sentry deletes them automatically, within 90 days.
- Backups: copies in our database backups go when those backups are replaced.
6Your choices and deleting your data
What you can remove yourself
- Anyone signed in: delete your own gym notes, remove challenge scores logged under your gym's name (swipe a score on the challenge board), and sign out (Gym → Sign out). Signing out clears the programming kept on that device.
- Gym owners: remove coaches, cancel invites and remove TV screens (swipe them in the Gym tab), and change or delete any of the gym's notes. Owners can also manage coaches on prvnaffiliate.com.
- On a TV: unpairing makes it forget your gym.
Removing a coach from a team ends their access to that gym. It doesn't delete their account; they can delete it themselves in the app.
Deleting your account
You can delete your account in the PRVN Affiliate app on iPhone, iPad or Android: open the Gym tab and tap Delete account. If PRVN doesn't recognise your email, the button is on the screen that tells you so. It takes effect at once, and it deletes:
- your sign-in account with Clerk, including its sessions and devices, and with it your place on any gym's team
- the gym notes you wrote
- any coach invites sent to your email
- the records of when you opened the programming
TV screens you paired and invites you sent stay with your gym, but they're no longer linked to you. Your gym's membership, its other coaches and PRVN's programming aren't affected. Challenge scores carry an athlete's name and a gym, not an account, so they stay on the scoreboard. A gym owner can sign in again later with the gym's email, and a coach can be invited again.
You can also email [email protected] from the address you sign in with and ask us to do it; we'll confirm it's you and complete it within 30 days. Diagnostic reports expire on their own (see above). If you own a gym and want the gym's own notes, TV screens and invites deleted too, tell us. Your gym's subscription with PRVN is handled outside the apps. PRVN may keep billing records it's required to keep.
If you're an athlete and want a score taken off the scoreboard, ask a coach at your gym (they can remove it in the app) or email us.
Your privacy rights
Depending on where you live, you may have the right to know what personal information we hold about you, to get a copy, to correct it, to delete it, or to object to how we use it. To ask for any of these, email [email protected]. We'll respond within 30 days, and we won't treat you differently for asking. If you're in the EU or UK, you can also complain to your local data protection authority.
7No selling, no ads, no tracking
We don't sell or rent personal information, and we don't share it for others' advertising. There are no ads in PRVN Affiliate. The apps don't use the advertising identifier and contain no advertising or tracking code. We don't combine your information with data from other companies to profile you.
8Children
PRVN Affiliate is a business tool for gym owners and coaches. It isn't directed at children under 13, and we don't knowingly collect personal information from them. The “Teens” track is programming that gyms coach. It doesn't make PRVN Affiliate a children's app.
Challenge scores are public. When a coach logs a score for a young athlete, use a first name or initials. If you think a child under 13 has given us personal information, email [email protected] and we'll delete it.
9Security
- Encryption: everything between the apps, the site and our servers is encrypted (HTTPS).
- Sign-in: there are no passwords to steal. Sign-in uses a one-time code sent to your email.
- Access checks: your gym's access is checked on every request, so a gym or coach that's removed loses access right away.
- TV keys: each TV's pairing key is stored on our servers only in a form that can't be turned back into the key, and an owner can cancel it at any time.
- Diagnostic reports: sign-in tokens, cookies, codes and passwords are stripped before a report is sent.
- Staff access: only the PRVN staff who need it can reach the data.
No system is perfectly secure. If we learn of a breach that affects your information, we'll tell you as the law requires.
10Where your data is processed
Our servers and our service providers are in the United States, and that's where your information is stored and processed. If you use PRVN Affiliate from outside the US, your information is transferred there, and our providers protect it under their data processing terms.
11Changes to this policy
If we change this policy, we'll post the new version here with a new effective date. If a change matters, for example if we start collecting something new, we'll also let gym owners know by email or in the app before it takes effect.
